A. Senior Facility Officer


As (A) Senior Facility Officer you are responsible for overseeing maintenance (and repairs) of the mission/ residency, technical systems and equipment, and coordinate with/report to the Deputy Head of Mission (Deputy HOM). You are responsible for facilities/logistical tasks that are necessary for general maintenance, and for resolving technical disruptions. You ensure that buildings, devices and equipment are ready for use. You have basic knowledge of relevant rules and regulations (security, inspection and technical regulations, health and safety, and device/equipment specifications).
You are expected to demonstrate independence and judgment within your role.

B. Senior Driver


As (B) Senior Driver you transport people and goods timely and in a safely manner, and report to the Deputy HOM. You represent the mission, and behave accordingly. You are responsible for the diplomatic vehicle of the mission. You exercise due care in regard to personal or confidential information. You respect the traffic rules, keep records of the journeys made, and take all necessary precautionary measures to ensure a smooth, safe journey.
You arrange and coordinate the transportation of mission personnel, delegations and documents/materials. You advise on and closely follows protocols, implementation plans, safety/security procedures, scenarios and journey plans. You decide on how the journey is made (the choice of alternative routes, and any preventive security measures).

B.1.1 Result areas and results

  • Effective supervision of the work carried out by third parties. Irregularities are identified and, where necessary, resolved.
  • Tasks are carried out in line with the applicable instructions, rules and regulations, and according to schedule.
  • There is effective coordination about tasks, and permits are arranged if necessary.

  • Journeys are carried out as agreed with the manager.
  •  In the event of an emergency, the appropriate parties (including colleagues, police, emergency services) are correctly informed and deployed.

  • The HOM is taken promptly, safely and correctly to the right destination.
  • The driver contributes effectively to protocols, implementation plans, safety procedures, scenarios and journey plans.

B.1.2 Taks

  • Perform light administrative tasks (f.e. VAT-procedures)
  • Run errands (Office supplies, kitchen supplies, [price quotes] small purchases.
  • Coordinate work schedules with executive assistant
  • Preparing residence for events
  • Participate in weekly staff-meetings

B.2 Framework

The Officer is accountable to the Deputy HOM for the quality of the deliverables and the progress of all provided services. He/she will carry out tasks in close collaboration with the Sr. General Affairs Officer/Consular Affairs Officer and the General Affairs Officer, in accordance with administrative and procedural regulations in relation to internal management of missions.

  • Passengers and Fellow drivers from other Embassies and Protocol;
  • Safety officials (about the route to be selected in terms of a security strategy
  • to exchange information and arrive at agreements;
  • Suppliers and vendors.

B.4 Knowledge and skill requirements 

  • Practical knowledge of and skills in using tools and operating the necessary equipment/devices.
  • Knowledge of security and inspection regulations and technical regulations, health and safety regulations, and device/equipment specifications.
  • Skilled in carrying out maintenance tasks on buildings and technical equipment.
  • Skilled in dealing with complaints, reports of technical disruptions and liaising with third parties in a customer-friendly manner.
  • Technical knowledge of passenger transport and safety procedures.
  • Practical knowledge of car mechanics and topography.
  • Skilled in using digital navigation devices (maps) and telecommunication devices.
  • Skilled in assessing situations that may pose a threat to security and taking measures to de-escalate or otherwise mitigate them.
  • Some knowledge of ICT systems.

B.6 Level of education / additional training and knowledge 

Cognitive and other work-related abilities: Secondary vocational level
Level of experience: Five years
Cognitive and other work-related abilities: Pre-vocational level (driving licence)

Level of experience: Excellent technical knowledge and driving experience
Language Skills: English & Greek (Fluent).

C. Work environment


C.1

The Embassy is located on the first floor of a modern office building close to Cyprus Ministry of Foreign Affairs as well as the city centre, that also houses the Embassies of France and Austria. The de-facto division of Cyprus continues to provide for a politically sensitive working environment that requires the employee’s awareness in the performance of his/her daily duties.

C.2

The Embassy staff consists of 5 persons: 2 expatriate and 4 local staff members. A close-knit team in which everyone supports each other in the tasks to be performed.
