SPECIFIC INFORMATION
The senior driver carries out his/her tasks at the embassy of the Netherlands in Rome and the embassy of the Netherlands to the Holy See. He/she primarily drives the ambassadors, visiting delegations, other staff members, including picking up and delivering goods/documents. He/she also provides organizational and administrative support to the internal affairs section.

The line manager for this position is the operational manager; the manager for day-to-day matters is the deputy operational manager. The management support officers will provide the daily transport schedules for the ambassadors.

The employee works closely with the other senior driver at the embassy, the colleagues of the internal affairs section and the management support officers. He/she will also deal with various contact persons outside the embassy.

The position requires a high level of punctuality, discretion and flexibility from the employee.

The two official cars of the embassy are 100% electric and have different driving and fueling instructions than non-electric cars.

B.1.1   TASKS

Driving the ambassadors, delegations and other staff members + delivering/picking up goods and documents

  • Driving of the 2 ambassadors, in collaboration with the other senior driver. This includes the planning of routes and determining departure times etc. to ensure arrival on time.

  • Driving of visiting delegations and other staff members.

  • Delivering and picking up of goods and documents.

  • Ensuring correct and timely maintenance of the official cars (including cleaning and washing).

  • Keeping the logbook of all car trips up to date.

  1. Administrative tasks

  • At the request of removal companies: applying for import/export documents and exemptions for shipping of personal effects of diplomats.

  • Arranging all paperwork, including drafting Notes Verbale, for import/export and exemptions of diplomatic cars (both embassy cars and private cars of diplomats).

  • Administrative tasks related to diplomatic cars, for example registrations of license plates, assistance with third party insurances, application for parking and ZTL permits, application for fuel cards, assistance with the sale of diplomatic cars, and other similar tasks

  • Administrative tasks related to diplomats and their family members, for example application for fiscal codes and change of driver’s licenses, and other similar tasks

  • Applying with MAECI for all tax-exemptions for embassy, consulate general Milan and diplomats:

  1. Supply of goods and services

  2. Lease agreements for diplomatic staff residences

  3. Fuel for cars

  4. TV-licenses for diplomats residences

  • Opening/closing of various accounts for supply of utilities at the embassy, official residences and houses of diplomats.

  1. Accounting tasks

  • Making payments and purchasing of office supplies with the embassy credit card

  • Administration and reconciliation of monthly credit card statements.

  • Support with various issues/payments regarding utilities (embassy, official residences and houses of diplomats).

  • Registering and changing of signatories for the embassy’s Italian bank account.

B.2 FRAMEWORK

  • The employee executes his/her duties under the supervision of the operational manager and deputy operational manager and reports to them regarding the quality of the tasks and services mentioned above.

  • The duties and tasks are subject to the relevant Italian/Dutch legislation and the internal procedures of the embassy and the ministry of foreign affairs in The Hague.

B.3 CONTACTS

  • With the operational manager, the deputy operational manager and other colleagues of the internal affairs section regarding the planning and execution of the various tasks and duties.

  • With the management support officers who will provide the daily transport schedules for the ambassadors.

  • With MAECI regarding various documents and paperwork as mentioned above.

  • With suppliers of utilities at embassy, official residences and houses of diplomats.

B.4 KNOWLEDGE, EXPERIENCE AND SKILL REQUIREMENTS

  • Basic technical knowledge of electric cars and car maintenance. The two official cars of the embassy are 100% electric and have different driving and fueling instructions than non-electric cars.

  • Knowledge of topography of Rome and navigation of Roman traffic.

  • 2 to 3 years of relevant proven experience as an official driver, preferably at an international organization.

  • Proven skills and ability to drive safely, such as a certificate of a successfully completed training for professional drivers.

  • Experienced in driving in high speed cortèges is desired

  • Excellent communication skills in Italian (both written and spoken) and good knowledge of spoken English.

  • Experienced in working/cooperating with team members.

  • Skills and experience in administrative work, including IT-skills (Microsoft Office software).

C. EMPLOYEE PROFILE

The employee must be flexible and a team player. He/she must be able to manage multiple tasks and be able to work under pressure.

This position requires regular overtime hours, due to the schedules of both ambassadors. The employee must be available for this overtime, which occurs several times a month (both during evenings as well as weekends).

He/she performs the tasks and duties in close cooperation with the embassy’s other senior driver. The employee must be able to working closely together with this colleague and other members of the embassy team.

A high level of discretion is required in this position.

The employee is expected to demonstrate flexibility and a proactive approach by undertaking additional duties as required by the internal affairs department, also if these tasks are not specified in the official job profile.

D. WORKING ENVIRONMENT

The embassy of the Kingdom of the Netherlands represents the interests of the Netherlands in Italy, in close collaboration with the other missions in the Dutch diplomatic network Italy. The embassy of the Kingdom of the Netherlands to the Holy See is housed in the same building.

The embassy has between 35 and 40 staff members, including employees and attachees of the ministries of Defense, Justice and Agriculture.

Starting date: 1 August 2025

Salary indication: EUR 2.259,-- gross per month

Initial employment contract for 1 year
