Temporary General Affairs Officer – Housing & Facilities (minimum of 6 months) – Embassy of the Kingdom of the Netherlands, Brasilia
The Embassy of the Kingdom of the Netherlands in Brasília is seeking an enthusiastic General Affairs Officer, who is dedicated to deliver high quality work in the field of facility management, and is able to plan, organise and document, and has excellent customer service skills.

- Starting date: as soon as possible
- Contract: temporary local contract at the Embassy, 40 hours a week, CLT contract with several additional benefits
- Salary: local pay scale 6, market competitive and dependent on relevant work experience Min. BRL 10.160 – max. BRL 15.240 (gross amounts)
Your work will involve:
- Planning and organizing maintenance and facility projects in accordance with strategy and inspection documents of the Ministry of Foreign Affairs and adapting to the needs, including maintenance and renovation on constructions, technical/electrical/climate control/air purification installations, plumbing’s, fittings, wirings, facilities and gardens;
- Preparing tender documents and assessment of offers;
- Surveying the quality of the works done by local contractors in the area of his/her responsibility;
- Surveying and coordinating the technical logistics of gatherings and the inventory at the official residence, as well as at the Chancery;
- Facilitating relocating process, inspection of (future) residences and administrative procedures around relocation of expat diplomatic staff;
- Identify improvements in the facility processes and planning, present proposals to Facility Manager and the Operational Manager;
- Making sure relevant documents are archived at the determined applications and project and maintenance documents are always up to date;
- General support with events that take place at the Chancery or the official residence;
- Collaborating on a daily basis in the facility team comprising of the Facility Manager, one technical maintenance officer and three gardeners. Collaborating in broader General Affairs team and with other Embassy staff;
- Maintaining contacts with relevant departments of the Ministry of Foreign Affairs in the Netherlands, proactively seeking for alignment, when required;
- The General Affairs Officer is accountable to the Operational Manager in the execution of his/her duties.
Who we are looking for:
- Preferably 3+ years of relevant work experience and education in relevant area;
- General technical (engineering) / facility management knowledge;
- Good communication skills in Portuguese and English. Dutch is an added advantage.
- Experience with contract / procurement negotiations;
- Knowledge of safety and inspection regulations, technical regulations, occupational health and safety regulations and equipment specifications is a plus;
- Ability to collaborate with a diverse team in a dynamic work environment;
- Ability to independently plan, organize and anticipate;
- Ability to network and collaborate with suppliers;
- Client orientation and empathetically dealing with problems.
- Problem solving skills and proficiency in common Office software (Word, Excel, Powerpoint, etc.).
