The Consulate of the Kingdom of the Netherlands in São Paulo is seeking an enthusiastic Management Assistant.

The ideal candidate for the position of Management Assistant at the Consulate of the Kingdom of the Netherlands in São Paulo is an individual who embodies the following qualities:

The ability to stay calm and adjust to shifting demands, whether it’s handling urgent matters or new directives, will be essential for success in this role. The candidate must be prepared to be available beyond standard office hours, including occasionally on weekends and public holidays.
Main duties
The main focus of this position is management assistant to the Consul General and her deputy.
- Respond to and draft emails
- Manage appointments
- Writing reports of meetings
- Collecting, organizing and archiving data in several content management systems
- Supporting incoming visitors and delegations and preparing files for these incoming delegations
- Handling and advising on received invitations, making and sending invitations, set up guest lists
- Co-organize receptions and events
What we are looking for:
- Preferably 3+ years of relevant work experience and education in relevant area.
- Good communication (verbal and writing skills) in Portuguese and English. Dutch is an advantage.
- Ability to collaborate with a diverse team in a dynamic work environment.
- A proactive, dynamic and service-oriented personality who is flexible enough to deal with a wide variety of activities and find solutions for problems that arise.
- He/she combines speed of operation with a high quality of output and shows initiative.
- A team player, who is happy to contribute, together with colleagues form the consulate, to improve the position and visibility of the Netherlands in São Paulo.
- Capability of constructively challenging and supporting the management team as a critical sparring partner.
- Proficiency in common Office software (Word, Excel, PowerPoint, etc.).

Working environment
The Consulate General of the Kingdom of the Netherlands in São Paulo is an office at Faria Lima district in São Paulo. The consulate is part of the broader Brazil network: the Embassy of the Kingdom of the Netherlands in Brasilia, the Consulate General in Rio de Janeiro and the Netherlands Business Support Offices in Belo Horizonte and Porto Alegre. The Consulate General has 20 staff members and consists of an agricultural employee, a consular department, an innovation team, general affairs and a cultural/economic and trade section.
The Management Assistant is employed within the general affairs department of the consulate and will report directly to the Deputy Consul General. He or she will collaborate and communicate regularly with all other staff in the Brazil network.
